This is a rare ground-floor moment at a company hitting its commercial inflection point. This role is the operational center of a medical affairs team working across the US and Europe. You’ll own the systems the team runs on — Veeva chief among them — and the congress calendar that puts our science in front of the retina community. WHAT YOU’LL DO

Systems & Platform Ownership

  • Own day-to-day administration of Veeva across medical affairs, including user access, workflow configuration, and data integrity
  • Serve as the team’s power user and first line of support — troubleshoot issues, train new users, and translate needs into system requirements
  • Partner with IT and external vendors on platform upgrades, integrations, and validation activities
  • Build reporting and dashboards that give medical leadership visibility into activity, spend, and field engagement
  • Identify manual processes ripe for automation and drive the change through to adoption

Congress & Conference Operations

  • Plan and execute medical affairs presence at US and European congresses end to end — budget, booth, logistics, staffing, and materials
  • Manage the annual congress calendar and prioritization in partnership with medical and commercial leadership
  • Coordinate scientific exchange logistics, advisory boards, and investigator meetings across time zones
  • Manage congress vendors, contracts, and post-event reconciliation and reporting

Central Coordination & Project Management

  • Act as the operational hub for a distributed medical team spanning US and European markets
  • Build and maintain project trackers, timelines, and metrics that keep cross-functional work moving
  • Coordinate the medical, legal, and regulatory review process for field medical and internal training materials
  • Support the US publication plan and conference plan alongside the medical affairs team
  • Run team communications, meeting cadence, and documentation so nothing falls between markets

Process & Compliance

  • Establish and maintain SOPs, policies, and work instructions for medical affairs, aligned to external standards and oversight bodies
  • Own the process for responding to field, customer, and scientific inquiries
  • Ensure medical affairs activities comply with applicable US and EU regulatory requirements and healthcare compliance standards
  • Manage translations and version control for medical affairs documents across markets

WHAT YOU’LL BRING

Required

  • Bachelor’s degree in a health science, biotech, or related field
  • 5+ years in medical affairs, clinical operations, or clinical research, with demonstrated operational ownership
  • Hands-on Veeva experience as an administrator or advanced user
  • Working knowledge of GCP and applicable FDA and EU regulatory requirements for medical affairs activities
  • Proven congress or scientific meeting planning experience, including vendor and budget management
  • Strong project management skills and the ability to keep multiple workstreams moving without close supervision
  • Comfort working across US and European time zones; Eastern time zone strongly preferred
  • Ability to travel approximately 20%, including international

Preferred

  • Ophthalmology or retina experience
  • Advanced degree in the health sciences (MS, PhD, PharmD, MD)
  • Experience supporting a commercial launch or expansion into new markets
  • Familiarity with additional medical affairs platforms — CRM, medical information, or publication planning tools
  • Experience working in a lean organization where the role spans strategy and execution

COMPENSATION

Outlook Therapeutics is committed to pay transparency and equitable, market-calibrated compensation. This role is eligible for an annual performance bonus and a meaningful equity grant, reflecting the opportunity to build lasting value at a company at an inflection point.
Target annual bonus: 15%
Base salary range: $155,000-$175,000
Final compensation is determined by experience, location, and internal equity.
